What dental practices should automate, and what they should not
Between 15 and 30 hours a week of admin runs through a typical small operation like yours. This page maps the recurring tasks on one grid, prices the manual work, lists the tools with checked Australian pricing, and is honest about the places where AI would be a waste of your money. Researched July 2026. Bottom-up estimate across the tasks above for a practice running one to two front desk staff, there is no published Australian study of dental front desk admin hours, so treat it as a working range.
Every recurring task, on one grid
How often a task happens sets one axis. How much judgment it needs sets the other. The quadrant tells you what to do about it, and two of the four quadrants need no AI at all.
Automate now
AI-assist
Systemise
Keep human
This is the typical pattern for dental practices. Your business will differ. Build your own map in about three minutes and it lands on my desk with your enquiry.
Price the manual work
At $55 an hour, 15 to 30 hours a week of admin costs $39,600 to $79,200 a year. Put your own numbers in.
Assumptions: 48 working weeks, recovery range 40 to 70 percent from well-chosen small-business automation. Ranges, not promises. The recoverable share lives almost entirely in the top two rows of the grid above.
Three quick wins with the fastest payback
Turn on two-way SMS confirmations in the practice software you already pay for and work a cancellation fill-list off the replies.
Automate the six-month recall sequence as SMS then email, with a phone call only for non-responders, instead of staff ringing every name.
Send digital medical history and consent forms with the booking confirmation so the front desk stops re-keying paper on the day.
What the software actually costs

The automation ladder: who maintains what you build
The tools above run your trade. When they need wiring together, quote follow-ups, invoice chasing, job status updates, there is a ladder, and every rung answers the same question: who maintains this after the build.
Step 0. Maybe you need nothing
If the fix is a booking system with built-in reminders, a proper job-management app, or deleting a step, we say that instead. A workflow platform bolted onto a broken process is just a faster broken process.
Rung 1: Make, the default
For most small businesses we recommend Make. Its entry paid tier is US$12 a month for 10,000 operations (checked July 2026) against Zapier's US$19.99 for 750 tasks, and its visual canvas handles real-world branching. The trade-off: you will not build in it yourself. We build it, document it, and hand it over running.
Rung 2: Zapier, only if you will drive it yourself
Zapier's one real advantage is that a non-technical person can maintain and extend it without us, with 9,000 plus app connections and plain-English setup. You pay for that convenience, from US$19.99 a month for 750 tasks, and it climbs. Pick this only if owning your own automations matters more than cost.
Rung 3: n8n, hosted by us, for sensitive data or serious volume
When workflows touch client records, or volumes that make per-task pricing expensive, we run n8n on infrastructure we manage. No per-task fees (the self-hosted licence is free; the hosting and care is what you pay for), your data stays where you decide, and it has the strongest AI wiring of the three when a workflow needs a model in the loop. Trade-off: it needs a technical operator. That is us, on a monthly arrangement.
For a business like yours holding patient records, this rung is not a preference, it is the trigger: the moment automated workflows would carry those records through US cloud platforms, we move the work here so data residency stays your decision.
Spot tool: approval-gated AI
When AI drafts something a customer will see (quotes, replies, review responses) and you want a human sign-off step built into the flow, tools in the Relay.app class are designed around exactly that pattern. We use them for that pattern only, not as the backbone; the category is young and moving fast.
Prices in US dollars, checked July 2026 on the vendor pages. They drift, and we re-check before any paid recommendation.

Tell me what is eating your time. I reply personally with what I would automate first, what I would not bother with, and which tools fit, and if the honest answer is that you do not need any of it, that is what you will get. The current wait is a few weeks, spots held in order.
I reply personally to every one of these. The current wait is a few weeks, spots are held in order, and if the honest answer is that you do not need AI, that is exactly what I will send you.
