What cleaning businesses should automate, and what they should not

Rules-based and frequent. Connect the systems, take the human out of the loop, keep an exception lane.
Recurring job scheduling
The same homes and offices repeat weekly or fortnightly, so software can roll the run sheet forward without you rebuilding it.
Recurring invoicing
Contract cleans bill the same amount on the same day each cycle, which is exactly what repeating invoices do without typos.
Timesheets and payroll
GPS clock-in at each site replaces paper timesheets and feeds hours straight into the pay run.
Chasing late payments
Reminder emails at set overdue dates are formulaic, only the awkward phone call needs a human.

AI-assist

High volume but needs a brain. Software drafts and chases, a person makes the final call.
Rostering and shift cover
Cleaning has heavy staff churn, so software should surface who is free and qualified while you make the 5am call on who covers.
Residential quote requests
A standard clean prices off bedrooms and bathrooms, but bond cleans and rough houses need a human look at photos first.

Systemise

Not frequent enough to justify software. A tight template or checklist gets the win for free.
Cleaner onboarding
High churn means you rehire often, so a repeatable checklist for police checks, agreements and site inductions beats starting from scratch.
Supply reordering
Chemicals and consumables run off a simple par-level list per site, not daily decisions.

Keep human

Judgment-heavy. Automating these damages trust. Design the process well and leave people on it.
Commercial quoting
Office and strata contracts are won on the walkthrough and the relationship, not on a form.
Complaint handling
A missed bin or streaky glass is a retention moment, and an automated reply reads as not caring.

The automation ladder: who maintains what you build

The tools above run your trade. When they need wiring together, quote follow-ups, invoice chasing, job status updates, there is a ladder, and every rung answers the same question: who maintains this after the build.

Step 0. Maybe you need nothing

If the fix is a booking system with built-in reminders, a proper job-management app, or deleting a step, we say that instead. A workflow platform bolted onto a broken process is just a faster broken process.

Rung 1: Make, the default

For most small businesses we recommend Make. Its entry paid tier is US$12 a month for 10,000 operations (checked July 2026) against Zapier's US$19.99 for 750 tasks, and its visual canvas handles real-world branching. The trade-off: you will not build in it yourself. We build it, document it, and hand it over running.

Rung 2: Zapier, only if you will drive it yourself

Zapier's one real advantage is that a non-technical person can maintain and extend it without us, with 9,000 plus app connections and plain-English setup. You pay for that convenience, from US$19.99 a month for 750 tasks, and it climbs. Pick this only if owning your own automations matters more than cost.

Rung 3: n8n, hosted by us, for sensitive data or serious volume

When workflows touch client records, or volumes that make per-task pricing expensive, we run n8n on infrastructure we manage. No per-task fees (the self-hosted licence is free; the hosting and care is what you pay for), your data stays where you decide, and it has the strongest AI wiring of the three when a workflow needs a model in the loop. Trade-off: it needs a technical operator. That is us, on a monthly arrangement.

Spot tool: approval-gated AI

When AI drafts something a customer will see (quotes, replies, review responses) and you want a human sign-off step built into the flow, tools in the Relay.app class are designed around exactly that pattern. We use them for that pattern only, not as the backbone; the category is young and moving fast.
